Axis Building Advisory (“Axis”, “we”, “us” or “our”) respects the privacy of professionals and businesses participating in, applying to join, or communicating with us in connection with the Axis Partner Network (“Partners”).
This Partner Privacy Policy explains how we collect, use, store and disclose personal information in connection with the Axis Partner Network.
This policy should be read together with our Partner Terms & Conditions and, where applicable, our general Privacy Policy.
1. Information We Collect
When you apply to become, become, or communicate with us as an Axis Partner, we may collect information including:
your name;
business or trading name;
business address;
telephone number;
email address;
ABN and other business information;
profession, trade or service category;
professional registrations, licences or qualifications;
website and other publicly available business information;
information regarding your services and areas of operation;
correspondence and communications with Axis;
information relating to Referrals provided to you;
billing, transaction and payment information; and
any other information you voluntarily provide to us in connection with the Partner Network.
We may also maintain records concerning your participation in the Partner Network, including Referrals provided, applicable Referral Fees, payments, communications and Partner status.
2. How We Collect Information
We may collect information directly from you when you:
enquire about becoming an Axis Partner;
complete a Partner application, registration or payment process;
provide information by telephone, email, website or other communication;
enter into or participate in the Partner Network;
communicate with us regarding a Referral; or
otherwise provide information to Axis.
We may also collect relevant professional or business information from publicly available sources where reasonably necessary to assess or administer a Partner relationship.
3. How We Use Partner Information
We may use Partner information to:
assess applications or enquiries regarding participation in the Partner Network;
establish and administer Partner relationships;
determine whether a Partner may be suitable for a particular service category or Referral;
facilitate introductions between Partners and prospective clients;
communicate Referrals and relevant client information;
manage Partner exclusivity, availability and participation;
calculate Referral Fees;
process the initial setup fee and subsequent Referral Fee payments;
maintain payment and transaction records;
communicate regarding pricing, changes to our Partner Terms, policies or Partner arrangements;
respond to questions, disputes or enquiries;
monitor and improve the operation of the Partner Network;
maintain appropriate business and financial records;
protect the legitimate interests of Axis, its clients and Partners; and
comply with applicable legal, regulatory, taxation and accounting requirements.
4. Payment Information and Recurring Charges
Payments relating to the Partner Network are processed through a third-party payment provider.
When joining the Partner Network, the Partner may be required to pay a one-off setup fee. As part of this process, the Partner's nominated payment method may be securely stored by our payment provider for future charges authorised under the Partner Terms & Conditions.
Following commencement of the Partner relationship, Referral Fees may be calculated based on the Eligible Referrals provided to the Partner during each applicable billing period.
The Partner's stored payment method may then be automatically charged on a weekly basis for Referral Fees incurred during that billing period. The amount charged may vary from week to week depending on the number of Eligible Referrals provided and the Referral Fee applicable to the Partner.
Where no Referral Fees are incurred during a billing period, no Referral Fee will be charged for that period.
Axis does not store complete payment card details on its own systems. We may receive and retain payment-related information made available by our payment provider, including transaction amounts, payment status, receipts and limited payment-method information.
The authority for recurring charges, applicable Referral Fees, billing arrangements and cancellation is governed by the Partner Terms & Conditions.
5. Information Provided Through Referrals
As part of the Partner Network, Axis may provide Partners with information concerning prospective clients where Axis considers a Referral appropriate and the disclosure is permitted under Axis's applicable privacy arrangements.
Depending on the circumstances, this information may include:
the client's name;
telephone number;
email address;
project or property address;
information about the proposed project, enquiry or circumstances;
the nature of the services that may be required; and
other information reasonably relevant to facilitating the Referral.
The information provided will vary depending on the circumstances and information available to Axis.
6. Partner Responsibilities for Client Information
Client information supplied through the Partner Network must be treated confidentially and handled responsibly.
Partners must only use client information for purposes reasonably connected with responding to the relevant Referral and providing or offering the services for which the Referral was made.
Partners must not sell, distribute or use referred client information for unrelated purposes.
Partners are responsible for complying with any privacy, confidentiality, direct marketing or other legal obligations that apply to their own collection, storage and use of client information after receiving a Referral from Axis.
Once a Partner independently collects or uses personal information in connection with its own dealings with a client, the Partner is responsible for its own privacy practices.
7. Disclosure of Partner Information
Axis may disclose Partner information where reasonably necessary to operate the Partner Network, including to:
prospective or existing Axis clients where an introduction is being considered or made;
payment processors and financial service providers;
website, communications, hosting and technology service providers;
professional advisers, including accountants, lawyers and insurers;
contractors or service providers assisting Axis with its operations; and
government agencies, regulators, courts or other parties where required or authorised by law.
We will not ordinarily sell Partner personal information to unrelated third parties.
8. Information We May Provide to Clients
Where Axis considers referring a client to a Partner, we may provide the client with relevant information about the Partner, including:
business name;
contact details;
profession or service category;
website;
areas of expertise or services offered; and
other business information reasonably relevant to the proposed introduction.
Partners acknowledge that information provided to Axis for participation in the Partner Network may be used to facilitate these introductions.
9. Communications
Axis may contact Partners regarding:
Referrals;
Partner account or payment matters;
weekly billing and transaction information;
changes to Referral Fees or Partner arrangements;
changes to the Partner Terms & Conditions or applicable policies;
service or operational announcements;
opportunities relevant to the Partner Network; and
other matters reasonably connected with the Partner relationship.
Partners are responsible for ensuring that the contact information provided to Axis remains current.
10. Storage and Security
Axis takes reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Information may be stored electronically using third-party systems and service providers.
Payment methods used for recurring charges are stored and processed by our payment provider rather than complete card details being stored directly by Axis.
No method of electronic storage or transmission is completely secure, and Axis cannot guarantee absolute security.
11. Overseas Disclosure and Service Providers
Some technology, payment, hosting or other service providers used by Axis may store or process information outside Australia.
Where third-party providers process information on our behalf, their handling of information may also be governed by their own privacy and data-processing arrangements.
12. Access and Correction
You may contact Axis to request access to personal information we hold about you or request that inaccurate or outdated information be corrected.
We may need to verify your identity before responding to an access or correction request.
In some circumstances, access may be restricted or refused where permitted or required by law.
13. Retention of Information
Axis may retain Partner information for as long as reasonably necessary to:
administer the Partner relationship;
process and maintain records of payments;
maintain financial and business records;
manage disputes or enquiries;
comply with legal, taxation, insurance or regulatory requirements; and
protect Axis's legitimate business interests.
Termination of a Partner relationship does not necessarily require Axis to immediately delete all information relating to that relationship.

16. Applicable Law
This Partner Privacy Policy is intended to operate in conjunction with applicable Australian privacy laws and other legal obligations applying to Axis.
Nothing in this policy is intended to exclude or limit any privacy right or obligation that cannot lawfully be excluded or limited
